Privacy Policy
Last updated: 20 October 2026
Draft policy for review. This is general information, not legal advice.
1. Who we are
The controller of your personal data is:
AHOTC LTD (trading as Onroad Media)Registered in England and Wales. Company number: 13118477.
Registered office: 59 Mor Workspace, Treloggan Ln, Newquay TR7 2FP
Email: info@onroad.media
Phone: +44 7900 353611
Onroad Media is a trading brand of AHOTC LTD.
2. What we collect
- Enquiries: your name, email address and message when you use our contact form. We send it to our business inbox using Resend, and store a contact record and the enquiry in our database.
- Optional attribution: only if you accept analytics, an enquiry can be linked to a pseudonymous session or visit ID so we can see which pages and sources led to it.
- Optional site measurement: only after you accept analytics, page paths, timestamps, the external referrer domain only, campaign tags and browser user agent. Obvious bots and signed-in admin users are excluded. Rejecting analytics does not stop you sending an enquiry.
- Existing bookings: contact and business details, account identifiers, artwork, booking and invoice records needed to administer agreements. Customer booking pages are retired. Clerk is used for staff sign-in and admin pages, not public marketing pages.
- Payments: Stripe handles payment details when used. We use payment references, billing status and booking records to administer the service.
The random visitor identifier is pseudonymous, not a guarantee of anonymity. It can be linked to a contact record, and we treat it as personal data where it can identify you. See our Cookies Policy for how it is stored.
3. Why we use it, and our legal bases
- To reply to enquiries and prepare quotes: steps before entering a contract, and our legitimate interests in running our business.
- To provide and administer bookings and payments: performance of a contract.
- Security and responding to general enquiries: legitimate interests, where applicable.
- Optional analytics, including linking a visit to an enquiry: your consent. You can reject it or withdraw it at any time using Cookie settings in the footer. Withdrawal stops new tracking but does not automatically erase data already lawfully recorded; contact us about erasure.
- Direct marketing: a separate lawful basis and any consent required by law. Sending an enquiry does not sign you up to a newsletter or automatically opt you in to marketing.
- Accounting and tax records: legal obligation.
4. Who we share it with
We use service providers for hosting and infrastructure, email delivery (Resend), sign-in (Clerk) and payments (Stripe). They process data on our behalf or under their own terms. We do not sell your personal data.
Some providers may process data outside the UK. Where required, we rely on appropriate safeguards for those transfers.
Fonts are hosted on this site. Public pages do not embed third-party maps, videos or social feeds. Links to other websites do not load those sites until you follow them. Infrastructure providers still receive technical connection information needed to serve and secure this website.
5. How long we keep it
We keep personal data only for as long as needed for legal and operational obligations, such as dealing with your enquiry, running a booking and keeping accounting records.
6. Your rights
Under UK GDPR you have the right to:
- access your data and ask for corrections
- ask for erasure or restriction of processing
- object to processing based on legitimate interests
- data portability, where it applies
- withdraw consent at any time, where we rely on it
To use these rights, email info@onroad.media. You can also complain to the Information Commissioner's Office at https://ico.org.uk/make-a-complaint/.
7. Changes and contact
We may update this policy and will change the date above when we do. Questions? Email info@onroad.media, call +44 7900 353611, or use the contact form. See also our Terms & Conditions.
